Privacy policy

1. The short version
Bacaan holds what your plant enters and what it needs to reach your workers by phone. We do not sell it, we do not advertise against it, and we do not use one plant's data to inform another's. Workers are the people least able to argue about this, so the rules below apply to their records most strictly.
2. Who controls the data
Your plant is the controller of its own operational records, its workers, orders and production. Winebald Technologies is the processor: we hold and handle that data on your instructions. For account and billing details, we are the controller.
3. What we hold
- Account details, the plant name, sector, county, and the name, username, email and phone of each user.
- Worker records, name, phone number, role, and the shifts and production a worker reports.
- Operational records, materials, stock movements, runs, orders, machines, maintenance and quality checks.
- Message logs, the USSD sessions and SMS sent and received, so a disputed entry can be traced.
- Technical records, sign-in times, IP address and an audit trail of changes, kept for security.
We do not ask for national ID numbers, bank details or biometrics, and you should not put them into free-text fields.
4. Why we hold it
To run the service you have asked for: to record what the floor reports, to show it back to you, to send the alerts you configure, and to keep the account secure. We also use aggregate counts of how many plants and how many sessions, to understand whether the product works. Those counts never identify a plant or a person.
5. Workers and their phones
A worker's phone number is held so the plant can reach them and so their USSD entries can be attributed. It is not shared with other plants, and it is not used for marketing.
If you register a worker, you are responsible for telling them their work is being recorded and what it is used for. If a worker asks to see or correct their record, the plant owner can do it from Users, or you can ask us.
6. Who else sees it
- Mobile network operators carry the USSD and SMS traffic and see the numbers and message contents in transit. That is how the network works.
- Our hosting and infrastructure providers store the data on our instructions and may not use it for anything else.
- Nobody else, unless you ask us to, or the law requires it, and if we are compelled to hand something over we will tell you unless we are barred from doing so.
7. How long we keep it
Operational records stay while your account is open, because the point of them is history. If you close the account we keep the data for a short wind-down period so it can be recovered or exported, then delete it. Audit and security logs are kept longer, because they are the record of who did what.
8. Keeping it safe
Passwords are hashed, never stored as text. Traffic to the dashboard is encrypted. Access is scoped by role, so a worker cannot read the whole plant. Sign-in attempts are rate-limited and locked after repeated failures. See the security page for more.
No system is perfect. If data is exposed in a way that puts people at risk, we will tell the affected plants and the regulator as the law requires.
9. Your rights
Under Kenya's Data Protection Act you can ask what is held about you, correct it, ask for it to be deleted, object to how it is used, or ask for a copy to take elsewhere. Write to us and we will answer within the statutory period. If you are not satisfied, you can complain to the Office of the Data Protection Commissioner.
10. Children
Bacaan is for workplaces and is not for anyone under 18. If you believe a child's data is in the system, tell us and we will remove it.
11. Changes and contact
If this policy changes in a way that affects you, we will tell account owners before it takes effect. Questions, requests and complaints go to info@winebald.tech.
